When I receive an email relating to a meeting, I create a meeting sheet and cut and paste the email in there and make any relevant notes. I know others who keep folders in their Outlook and drag and drop emails there that have to do with a particular meeting. Most everything I do revolves around meetings.

It can be quite daunting taking minutes for a Committee that you have never met. Prior to the meeting introduce yourself to the chairperson (if you have not met them before) and ask them to either introduce you to the other Committee members or ask at the beginning of the meeting for each member to say their name. About 10 years ago I used to manage 12 Committees as part of my role at the time. These minutes were just from the main Committee meetings – I also had to attend and minute other meetings throughout the year. I absolutely loved the job but it did mean that I had to write 48 sets of minutes each year. Less Meeting – Free.

I didn’t have a blackberry… actually I didn’t have a mobile phone that accepted emails or had the internet so it wasn’t easy to stay connected. This meant starting up my home computer from 1997, connecting it to my dial-up internet and attempting to log onto the torturously slow remote email system.

I had so many meetings to keep track of that I needed a method of finding the details quickly from the various emails I had about the meeting. I managed a Senior Leadership Team meeting as well as the Board of Directors' and all of its Committee meetings. The CEO also was a frequent traveller to cities near and far.

Working for a Company Secretary in one role and looking after 12 Committees in another means I have spent more time than I care to admit putting board papers together. I often had quite heated conversations with one of my managers about taking the board papers online or if that was too much of a leap just emailing them to board members.

I've tried delegating through email, google and drop box. But it can be used for so many multi-user projects, such as planning an event, running a committee or board together, etc. 3 - Declutter Your Email Inbox. My EA function includes booking travel, heavy calendar and email management and organising the site-wide events. I check my emails first thing when I wake-up so that I can prioritise my day properly. Tech is a rapidly growing industry and can be incredibly busy at times, so being able to multitask and adapt is important.

So, after some advice from my mentor, I started sending my boss weekly emails detailing what I had achieved that week. The email wasn’t particularly sales-y but I did make sure that I put down everything that I knew would impress her. He sponsored the committee and volunteered a few more members of staff.
