Similarly I have a large A4 desk pad next to my keyboard for any quick notes I need to make, things to remember (like phone numbers for instance), and tasks people give me at my desk. Use your cell phone alarm Chances are, you use your calendar to remind you about meetings and any important events. However, I found that not helpful and I’ve always used my cell phone’s alarm clock. I also always have my cell phone with me so if I’m greeting guests, in the copy room, restroom, I don’t miss an alarm.

When I receive an initial request for a meeting, I use a meeting form and write down the information I need: who is requesting the meeting, what is the purpose of the meeting, where it will be held and a phone number or an e-mail address and dates that are available. Try to set up the communication of the office so your boss checks their own emails and responds, but you are in charge of all the mtg coordination, phones, and anything that happens in the office. Tech glitches happen all the time and 2 people controlling one person's calendar is not the easiest thing.

Sometimes I wish I had something to warn me when I am with someone with a cell phone so I can know that we are going to be interrupted. I find it frustrating when people either text while in a conversation or are constantly taking phone calls. Apparently not, when its by phone. In an emergency, the cell phone is a useful tool.

My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). No surprises!

It works well when it is a co-worker who sits closest to you, but depending on how your office is set up that might not be possible. She had to set up an away voicemail message and fortunately had kept a script of what her away message usually said, She worked for a doctor so it was important that the proper referral numbers were given.

If it is a big project I use a calendar and write down all my required to-dos on the dates I need to get them done to make my deadline. If I am told that I should have it in the next few weeks, or can expect to receive it in a couple of months, that doesn’t really help me with my follow up as it is not a definite date.

I was at the cottage with a friend and she was cranky and started to get wound up about something to do with her husband. Another bring-forward and organizing tip my friend shared with me (that she picked up from another assistant along the way) is using two-fold folders, with inside pockets. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder.

I take the bus to work and I often see people getting on a busy bus and then going through their backpack or purse looking for their bus tickets and holding up the line. Another time I was trying to find a full-serve gas station to fill up, but there was nothing to be found. It was expensive,but when I brought it home I had to do all the work to get it up and running. He loved it and I believe ended up doing his job better because of it. I remember when self-serve gas stations first started.

I think Tasks is one of Outlooks best-kept secrets, but it shouldnt be and is a great way to follow up on items. If I send an email to a co-worker requesting information, I immediately drag it from my Sent items to my Tasks, set a reminder to follow up and write in the Subject line "Did I get this information". 411 Look Up 411.ca
