Yes to Michael Kors’ party, I want the driver to drop me off at 9:30 and pick me up at 9:45 sharp. Similarly I have a large A4 desk pad next to my keyboard for any quick notes I need to make, things to remember (like phone numbers for instance), and tasks people give me at my desk. Keeping up with To Dos means getting your prioritized list in front of you. List these three on a large colorful post it note where you will see it, perhaps on your planner, on your phone or in your car. I use a calendar for appointments/activities, not for my to-dos. I have a clipboard that sits to the left of my keyboard.

Sometimes I wish I had something to warn me when I am with someone with a cell phone so I can know that we are going to be interrupted. I find it frustrating when people either text while in a conversation or are constantly taking phone calls. Apparently not, when its by phone. In an emergency, the cell phone is a useful tool.

My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). No surprises!

It works well when it is a co-worker who sits closest to you, but depending on how your office is set up that might not be possible. She had to set up an away voicemail message and fortunately had kept a script of what her away message usually said, She worked for a doctor so it was important that the proper referral numbers were given.

If it is a big project I use a calendar and write down all my required to-dos on the dates I need to get them done to make my deadline. If I am told that I should have it in the next few weeks, or can expect to receive it in a couple of months, that doesn’t really help me with my follow up as it is not a definite date.

Another bring-forward and organizing tip my friend shared with me (that she picked up from another assistant along the way) is using two-fold folders, with inside pockets. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder.

I was at the cottage with a friend and she was cranky and started to get wound up about something to do with her husband. By the end of the call her husband had caught her crankiness and it ended up with them both being angry. She ended up calling her husband back and apologizing for her bad mood. I take the bus to work and I often see people getting on a busy bus and then going through their backpack or purse looking for their bus tickets and holding up the line. Our organization uses Google Apps for our e-mail, calendar and cloud solution. Thanks to Deborah Erickson, CPO of No Where But Up,Organizing 4. You can set them up to send all emails from a particular sender to a folder to make it easy for you to find. Sometimes we end up on a lot of lists that we had not intended to be on.

I think Tasks is one of Outlooks best-kept secrets, but it shouldnt be and is a great way to follow up on items. If I send an email to a co-worker requesting information, I immediately drag it from my Sent items to my Tasks, set a reminder to follow up and write in the Subject line "Did I get this information". Dealing in real time.
