Sometimes I wish I had something to warn me when I am with someone with a cell phone so I can know that we are going to be interrupted. I find it frustrating when people either text while in a conversation or are constantly taking phone calls. Apparently not, when its by phone. A person I know does this all the time.

Do you find that you book a meeting date/time, but one or more people from the group let you know that they can’t make it during that date/time? They either block off time that they shouldn’t have or they block it off so that it either shows that they’re busy, but really out of the office or vice versa.

Using e-mail is a great tool, especially if you are trying to cut down on company costs via international phone calls and postage fees. You never know when someone would come back to you and tell you that they didn’t ask you to do a certain task.

Manage: Try scheduling e-mail checks every two hours to minimize time spent with the e-mail account open. Managing messages in bulk, but still in a consistent fashion, can help save time. If you don’t have e-mail folders, create some and sort messages as they are received. Doing too many things can actually waste time.

I couldn’t believe it either. I personally couldn’t do this, but it’s quite interesting that people would actually think of this. I work in a back office environment, where 99% of our client interaction is via the phone, e-mail or outside of the office, so I can wear jeans and a t-shirt.

What I learned very quickly was that I had to finish one room at a time. Prioritize the tasks you need to do for the day/week/month and then do them one item at a time. Sometimes you are just not sure what is sapping up your time and I have found a time log will help you determine where you are going astray.

Be protective of your boss’s time. Be professional on the phone and greet people who come calling, but not everyone needs to get in to see the boss. Be very selective and guard their time. A good assistant knows just where to find the document or file needed, or they won’t stop looking till they do.

They can use any other means of communication, even picking up the phone and talking to each other. There have been instances of where employees that sit a few cubicles away from each other prefer to e-mail rather than walk over or call the other on the phone. This actually happens quite a bit at my workplace as well.

Participants do have to concentrate on a conference call so think about the time of day when your manager seems particularly focused. Do ask if they are in a different time zone to you. Conference calls do actually take a little more time to organise than a usual face-to-face meeting but the basics should be the same.
